Monitoring contracted school buses
Many schools do not own their buses. A contractor runs them. That works well when both sides can see the same facts about every trip.
When the school does not own the bus
In many Indian cities, schools hire buses and drivers from a transport contractor instead of running their own fleet. The school is still answerable to parents for every child on every route. If a bus is late, skips a stop or takes a strange route, parents call the school, not the contractor. Without data, the school has only the contractor's word, and the contractor has no easy way to prove that a trip went to plan.
GPS tracking with shared visibility turns those conversations into facts.
What the school sees
- Every contracted bus on the live dashboard, updating about every 5 seconds from a 4G tracker.
- Visited and missed stops for each trip, so a skipped stop shows up the same morning.
- Wrong-direction alerts when a bus leaves its planned path.
- Attendance through RFID card readers on the bus, so the school knows which students actually travelled.
- SOS alerts from the driver or attendant app to the school admin.
- Trip history and playback, to check what really happened when a parent complains.
What the contractor gains
For a bus operator, tracking is not just the school checking up. It is a record of good service. Trip history shows that buses ran on time and visited every stop. When a complaint arrives, the operator and the school can look at the same playback instead of arguing from memory. Document expiry alerts in the admin console help the operator keep permits and papers current across the fleet, and trip and cost records help plan drivers and vehicles.
Operators who run buses for more than one school can discuss account set-up with us during the demo, so each school sees the buses that serve it.
Writing tracking into the contract
Schools that hire buses often add simple tracking terms to the transport contract. These are ideas to discuss with your contractor, not legal advice:
- Every bus carrying the school's students has a working tracker, and the school can see it live.
- The contractor tells the school before a substitute bus or driver is used, and the substitute is tracked too.
- Stops and pickup order are agreed in advance and changed only through the transport manager.
- Both sides review trip history together once a month, looking at late trips and missed stops.
- Camera footage, where cameras are fitted, is handled under an access policy agreed by both sides.
Cameras on contracted buses
Some schools ask contractors to fit dome cameras and dashcams. Footage linked to the bus location helps settle questions about driving or behaviour on the bus. Agree in advance who can view the footage and for how long it is kept.
Parents see one system
Parents do not need to know who owns the bus. They use the same parent app whatever the arrangement, with a live map, ETA, arrival alerts about 2 km before the stop and a call-driver button. That keeps the school as the single point of contact, which is what most parents expect.
How to start
A school can start with the contractor's buses on one or two routes, check that the data matches what the contractor reports, then extend to the whole fleet. A contractor can do the same with one school before rolling out to others. Our transport management system page explains the dashboard, and we quote each set-up after seeing the fleet on our quote page.
Frequently asked questions
Can a school track buses it hires from a contractor?
Yes. Trackers are fitted on the contracted buses, and the school sees them live on its dashboard, with stops, attendance and alerts.
How does tracking help the bus operator?
Trip history and visited-stop records show that buses ran to plan, and document expiry alerts help keep the fleet's papers current.
What if the contractor sends a substitute bus?
Agree in the contract that substitute buses are tracked too. The school can then see the substitute on the map like any other bus.
Can parents tell who owns the bus?
They do not need to. Parents use the same app whatever the arrangement, so the school stays their single point of contact.
Is this legal advice for transport contracts?
No. The contract ideas on this page are practical suggestions to discuss with your contractor and your own advisers.
