School bus GPS tracker price: the 10 factors that decide your quote
Two quotes for "school bus GPS tracking" can differ hugely, and both can be fair. The difference is almost always in what is included. Here are the ten factors to compare.

When a school starts looking for a GPS tracking system, the first question is usually about price. It is a fair question, but it rarely has a one-line answer. A school bus GPS "tracker" can mean a single device on a dashboard, or a full system with devices, apps, attendance readers, cameras and support. Sellers also split their prices differently. Some charge more upfront and less each year, some the other way round, and some leave out items that others include.
This guide does not quote rupee figures. Prices change, and every school's set-up is different. Instead, it lists the ten factors that move a quote up or down, so you can ask the right questions and compare offers on equal terms.
1. Number of buses
This is the simplest factor. Every bus needs its own GPS device, its own installation and its own connectivity. Most other costs scale with the number of buses too: readers, cameras and per-vehicle software fees. Count every bus that will carry students, including spare buses that cover breakdowns. A spare bus with no tracker is the one that goes missing from the map on the day it matters.
2. Type of GPS device
A tracker wired into the bus behaves differently from a phone or a plug-in unit. Things to compare are how often the location refreshes, whether the device works on 4G, what happens when the signal drops, and who makes and supports it. 3. Installation
A device has to be fitted, wired and tested on each bus. Installation can depend on bus types, how many sites the installer must visit, and whether old equipment has to come out first. 4. SIM and data
A GPS tracker needs mobile data to send its location. Someone pays for that SIM and data, every month, for as long as the system runs. Ask whether connectivity is included, for how long, and what happens after that period. If the system includes a live camera feed, data use rises a lot, so check how that is covered.
5. Software and apps
The tracker is useful only through the software. Compare what each app actually does. Does the parent app show a live map, an alert before the stop, attendance and announcements? Does the driver app show the student list and pickup order? Does the transport manager get a live dashboard with visited and missed stops, student allocation and vehicle documents? Is there an admin console? Ask whether all of this is included, or whether some features cost extra.
6. Attendance readers and cards
RFID attendance on the bus needs a reader on each bus and an RFID card for each student. UHF attendance at the gate needs readers at each gate or classroom and a tag for each student. A big saving can come from putting the RFID chip or UHF tag into the ID card students already wear. Ask whether that is possible and who supplies the cards.
7. Cameras
Cameras are usually the largest optional item. Things that change the price are the number of dome cameras per bus (longer buses may need two), whether a dashcam is added, whether driver monitoring or two-way audio is included, and whether night vision is standard. 8. Storage and live feed
Recorded footage has to live somewhere: on a device in the bus, in the cloud, or both. Cloud storage usually carries a recurring cost that grows with how long footage is kept. A live 4G camera feed adds data costs. Decide how long you really need to keep footage and who needs live access. Then ask for a quote on exactly that, not on the maximum.
9. Alerts and messages
App notifications are usually part of the software. SMS alerts often carry a per-message cost, which adds up over a school year with hundreds of parents and several alerts a day. Ask which alerts are included, which are charged, and whether the school can choose which alerts to switch on.
10. Support, contract term and GST
Support matters more than it looks on a quote. What happens when a device fails? Who re-fits a tracker when a bus is replaced? Who trains new drivers and a new transport manager?
